This Privacy Policy explains how Leaserly ("Company," "we," "us," or "our") collects, uses, shares, and protects information about you when you use the Leaserly platform, website, and mobile applications (collectively, the "Service"). It also describes your rights regarding your personal information.
By using the Service, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Service.
1. Who This Policy Applies To
This Privacy Policy applies to all users of the Service, including:
- Landlords — individuals or entities who subscribe to Leaserly to manage one or more rental properties
- Tenants — individuals who access the Service by invitation from a landlord
- Visitors — individuals who visit our website without creating an account
2. Information We Collect
2.1 Information You Provide Directly
Account Registration
- Full name
- Email address
- Password (stored in encrypted form)
- Phone number (optional)
- Account type (landlord or tenant)
Landlord-Specific Information
- Property addresses and building details
- Subscription and billing information (processed by our payment processor; we do not store full card numbers)
- Business name (if applicable)
Tenant-Specific Information
- Residential address (associated with the property you are linked to)
Communications and Content
- Messages sent between landlords and tenants through the Service
- Maintenance requests and associated descriptions, photos, and status updates
- Lease documents and files you upload
- Calendar events and notes
- Any other content you submit through the Service
Property Management and Enforcement Records
- Rent payment terms, late-fee settings, and grace periods recorded in lease terms
- Late-fee notices generated and delivered through the Service, including state-law references and amounts owed
- Pay-or-quit notices, lease-violation records, and related evidence photos and tenant responses
- Payment plans proposed between landlords and tenants, including amounts and confirmation status
Security Deposits and Disputes
- Security deposit amounts and statuses
- Deposit dispute breakdowns, deduction items, supporting photos, receipts, and tenant responses
Electronic Signatures and Documents
- Documents uploaded for signature, signer names and email addresses, signature records (date, time, and signer identity), and signed PDF copies
- For signing requests sent to prospective tenants or other external recipients: the recipient's name and email address as entered by the landlord
Tenant Screening and Insurance
- Prospective tenant names, contact details, and landlord notes
- Renter's insurance documents uploaded by tenants and landlord verification status
- Emergency contact information recorded for a unit
Transcripts and Exports
- Records used to generate exported PDF transcripts, including communications, maintenance, notices, payment plans, deposit disputes, late fees, and document signatures
AI-Powered Tools
- Lease documents uploaded for AI lease review and the risk analysis and findings generated
- Property addresses and unit details (bedrooms, bathrooms, square footage, amenities, and current rent) entered for rent estimation, and the market rent estimates and comparable listings generated
- Records of rental listings scanned against your property address, including detected listings, match confidence, platform, and URLs
- Rent-increase notices generated and delivered through the Service, including current rent, new rent, effective date, and notice period
- Applicant financial documents (such as pay stubs, bank statements, and tax returns) uploaded for AI fraud screening, and the verdicts, fraud scores, and findings generated
- Applicant tenant screening reports (such as credit, background, and eviction reports obtained from third-party screening providers) uploaded for AI summarization, and the summaries, recommendations, credit scores, and findings generated

- Information you provide when contacting our support team
- Survey responses and product feedback
2.2 Information We Collect Automatically
When you use the Service, we automatically collect certain technical information, including:
- Device information: device type, operating system, browser type and version, unique device identifiers
- Log data: IP address, pages visited, time and date of visits, referring URLs, actions taken within the Service
- Usage data: features used, frequency and duration of use, clicks and navigation patterns
- Location data: general location inferred from IP address (we do not collect precise GPS location unless you explicitly grant permission)
- Cookies and similar technologies: see Section 7 below
2.3 Information We Receive from Third Parties
- Payment processors: we receive transaction confirmations and limited billing data from our payment processor (e.g., Stripe) but do not receive or store full payment card details
- Authentication providers: if you sign in via a third-party provider (e.g., Google), we receive your name and email address from that provider
- Analytics providers: we may receive aggregated or anonymized analytics data from third-party analytics services
3. How We Use Your Information
We use the information we collect for the following purposes:
3.1 Providing and Improving the Service
- Creating and managing your account
- Facilitating communication between landlords and tenants
- Processing and tracking maintenance requests
- Storing and displaying lease documents and calendar events
- Managing rent terms, late fees, payment plans, security deposits, and deposit disputes
- Generating, delivering, and tracking late-fee notices, pay-or-quit notices, and lease-violation records
- Requesting and capturing electronic signatures on documents, including requests sent to prospective tenants
- Recording prospective tenants, renter's insurance uploads and verifications, and emergency contacts
- Exporting timestamped PDF transcripts of tenant communications and activity
- Analyzing leases for risk and compliance, detecting potential unauthorized rental listings, estimating market rent and generating rent-increase notices, screening applicant financial documents for signs of fraud or digital alteration, and summarizing applicant tenant screening reports
- Sending notifications related to your account and property activity
- Processing subscription payments and managing billing
3.2 Customer Support
- Responding to your questions, requests, and complaints
- Diagnosing and fixing technical issues
3.3 Safety and Security
- Detecting, investigating, and preventing fraud, abuse, and violations of our Terms of Service
- Protecting the rights, property, and safety of our users and the public
3.4 Communications
- Sending transactional emails (account confirmations, password resets, payment receipts)
- Sending service announcements and updates about material changes to the Service or these policies
- Sending promotional communications about new features or offers (you may opt out at any time)
3.5 Analytics and Product Development
- Analyzing usage patterns to understand how the Service is used
- Developing new features and improving existing ones
- Generating aggregated, anonymized statistics about our user base
3.6 Legal Compliance
- Complying with applicable laws, regulations, and legal processes
- Enforcing our Terms of Service and other agreements
- Responding to lawful requests from government authorities
4. How We Share Your Information
We do not sell your personal information. We share your information only in the following circumstances:
4.1 Between Landlords and Tenants
The Service is designed to facilitate communication between landlords and tenants linked to the same property. Information you share within the Service — including messages, maintenance requests, calendar events, lease terms, late-fee notices, pay-or-quit notices, rent-increase notices, lease-violation records, payment plans, deposit disputes and deductions, document-signature requests, and uploaded documents — is visible to the other party in your property relationship. Please do not share information through the Service that you do not intend the other party to see.
4.1.1 External Signers and Prospective Tenants
When a landlord sends a document-signature request to a prospective tenant or other external recipient, the recipient's name and email address, the document being signed, and the resulting signature record are shared with that recipient for the purpose of completing the signature. Signing links are unique but may be accessed by anyone who has the link, so landlords should send them only to the intended recipient.
4.2 Service Providers
We share information with trusted third-party service providers who help us operate the Service, including:
- Cloud hosting and storage providers
- Stripe, Inc. — payment processing and identity verification for landlords who use Leaserly's rent collection features (stripe.com/privacy)
- Email and push notification providers
- Analytics providers
- Customer support tools
These providers are contractually obligated to use your information only to provide services to us and to protect it in accordance with this Privacy Policy. Stripe's collection, use, and storage of your personal and financial information is governed exclusively by Stripe's own Privacy Policy at stripe.com/privacy and is not subject to this Privacy Policy.
4.3 Business Transfers
If Leaserly is involved in a merger, acquisition, financing, or sale of all or a portion of its assets, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Service before your information is transferred and becomes subject to a different privacy policy.
4.4 Legal Requirements
We may disclose your information if we believe in good faith that disclosure is necessary to: (a) comply with a legal obligation or valid legal process; (b) protect the rights, property, or safety of Leaserly, our users, or the public; or (c) detect, prevent, or address fraud or security issues.
4.5 With Your Consent
We may share your information with third parties when you have given us explicit consent to do so.
4.6 Payment Processing — Stripe, Inc.
Leaserly uses Stripe, Inc. ("Stripe") to provide payment processing services for rent collection features within the Service. Stripe operates as an independent data controller and sub-processor in connection with these features. The following explains what data is shared with Stripe and how it is handled.
What information Leaserly shares with Stripe: When a landlord connects their bank account to enable rent collection, or when a tenant makes a payment through Leaserly, the following information may be shared with Stripe:
- Full name and email address
- Phone number (if provided)
- IP address and device information
- Property address associated with the payment
- Transaction amount and payment date
- Bank account or payment card details (entered directly into Stripe's secure payment form — Leaserly never sees or stores this information)
- Government-issued identification (for Stripe's identity verification process — submitted directly to Stripe, not to Leaserly)
What Leaserly does not see or store: Leaserly does not receive, store, or have access to:
- Full payment card numbers, CVV codes, or card expiration dates
- Full bank account numbers or routing numbers
- Any identity verification documents submitted to Stripe
- Funds transmitted between landlords and tenants at any point in the transaction
How Stripe uses your information: Stripe uses the information shared with it to:
- Verify the identity of landlords creating Stripe Connect accounts (Know Your Customer / KYC compliance)
- Process payments between tenants and landlords
- Detect and prevent fraud and unauthorized transactions
- Comply with applicable financial regulations, anti-money laundering (AML) laws, and tax reporting obligations
- Issue tax forms including IRS Form 1099-K to landlords who meet applicable thresholds
Stripe's privacy practices: Stripe's collection and use of your personal information is governed by Stripe's Privacy Policy, available at stripe.com/privacy. Leaserly does not control Stripe's data practices and is not responsible for Stripe's handling of your information. We encourage you to review Stripe's Privacy Policy before connecting a bank account or making a payment through Leaserly.
Data retention by Stripe: Stripe retains transaction and identity data in accordance with its own data retention policies and applicable financial regulations. Leaserly does not control how long Stripe retains your information and cannot request deletion of data held by Stripe on your behalf. For data deletion requests related to Stripe's records, contact Stripe directly at stripe.com/privacy.
Your rights regarding Stripe data: If you are a California resident and wish to exercise your CCPA/CPRA rights regarding information held by Stripe, you must contact Stripe directly. Leaserly can only fulfill data access, deletion, and correction requests for information held in Leaserly's own systems. For information Stripe holds independently, please contact Stripe at their privacy portal at stripe.com/legal/privacy-center.
Opting out of payment features: Use of Leaserly's rent collection features and the associated sharing of data with Stripe is optional. Landlords who do not connect a Stripe account and tenants who do not make payments through Leaserly are not subject to this data sharing. Core Leaserly features — maintenance tracking, messaging, lease storage, and other non-payment features — remain available without connecting to Stripe.
5. California Privacy Rights (CCPA / CPRA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):
5.1 Right to Know
You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which we collected it, the business or commercial purposes for which we collected it, and the categories of third parties with whom we shared it.
5.2 Right to Delete
You have the right to request that we delete personal information we have collected from you, subject to certain exceptions (such as information we are required to retain by law).
5.3 Right to Correct
You have the right to request that we correct inaccurate personal information we maintain about you.
5.4 Right to Opt Out of Sale or Sharing
We do not sell your personal information or share it for cross-context behavioral advertising.
5.5 Right to Limit Use of Sensitive Personal Information
To the extent we collect sensitive personal information as defined under the CPRA, you have the right to limit our use of such information to purposes permitted by law.
5.6 Right to Non-Discrimination
We will not discriminate against you for exercising any of your privacy rights. We will not deny you the Service, charge different prices, or provide a different quality of service because you exercised your rights.
5.7 How to Exercise Your Rights
To exercise any of these rights, contact us at privacy@leaserly.com or through the account settings page. We will respond to verified requests within 45 days. We may need to verify your identity before processing your request.
5.8 Authorized Agents
You may designate an authorized agent to submit requests on your behalf. We may require written proof of authorization and may verify your identity directly.
6. Data Retention
We retain your personal information for as long as your account is active or as necessary to provide the Service. When you delete your account, we will delete or anonymize your personal information within 90 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes (such as resolving disputes, enforcing agreements, or complying with tax obligations).
Uploaded documents such as lease files, signed documents, renter's insurance files, applicant financial documents submitted for fraud screening, and applicant tenant screening reports submitted for AI summarization may be retained for up to 12 months after account deletion to allow for dispute resolution, after which they are permanently deleted. Signature records, notices, payment plans, and deposit dispute records may be retained for the period required by applicable law or necessary to resolve disputes between the parties.
7. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to operate and improve the Service.
7.1 Types of Cookies We Use
- Essential cookies: required for the Service to function (authentication, security, session management). These cannot be disabled.
- Analytics cookies: help us understand how users interact with the Service (e.g., Google Analytics). You may opt out via your browser settings or our cookie preference center.
- Preference cookies: remember your settings and preferences to personalize your experience.
7.2 Your Choices
Most browsers allow you to control cookies through their settings. Disabling certain cookies may affect the functionality of the Service. We do not currently respond to "Do Not Track" browser signals, but you may opt out of analytics cookies via your account settings.
8. Data Security
We implement industry-standard technical and organizational measures to protect your personal information, including:
- Encryption of data in transit (TLS/HTTPS)
- Encryption of sensitive data at rest
- Access controls limiting employee access to personal data
- Regular security assessments and monitoring
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at security@leaserly.com.
For payment processing, Leaserly relies on Stripe's PCI DSS Level 1 certified infrastructure — the highest level of payment security certification available. Payment card data and bank account details entered through Leaserly's payment screens are submitted directly to Stripe's secure servers using Stripe's hosted payment elements. This data never passes through or is stored on Leaserly's servers at any point.
9. Children's Privacy
The Service is not directed to children under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child under 18, we will delete it promptly. If you believe we have collected information from a child, please contact us at privacy@leaserly.com.
10. Third-Party Links and Services
The Service may contain links to third-party websites or integrations with third-party services. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party services you use in connection with Leaserly.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or prominent in-app notice at least 14 days before the changes take effect. The "Last Updated" date at the top of this page reflects the most recent revision. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised policy.
